As the HMIS Lead Agency and System Administrators for the Durham, NC Balance of State, and Orange CoCs, the NCCEH Data Center supports the training of HMIS@NCCEH users. We are excited to have you join the HMIS User community here in North Carolina!

Before you start

If your agency is already on HMIS, ask your Agency Administrator to request an HMIS license via our NCCEH Data Center Forms (listed on the https://www.ncceh.org/hmis/about/).

If you are with an agency that would like to join HMIS, before requesting New User Training, please complete the HMIS@NCCEH New Agency Form license via our NCCEH Data Center Forms (listed on the https://www.ncceh.org/hmis/about/).

 

What does training involve?

HMIS Training is completed through the following steps:

  1. Your Agency Administrator requests an HMIS license
  2. Our Data Center will provide you access to the Learning Management System (LMS) to access the online training videos.
  3. Complete the LMS “Start Here” and “NC Security & Privacy Training” videos, quizzes, and user agreement.
  4. Our Data Center will then provide login access to the HMIS training site so that the test client case(s) associated with the final LMS Workflow video(s) can be completed. The number of test client cases is dependent on the level of access and project types requested by your Agency Administrator.
  5. Upon submission of the test client(s), the Data Center will follow up with any required next steps for completion.

 

Requirements

  1. Complete all assigned Learning Management System (LMS) online training videos and quizzes
  2. Sign the HMIS User Agreement
  3. Create a test client into the HMIS Training Site to show off your new skills!

Process

Once your Agency Administrator has requested an HMIS License, you will receive two emails from the NCCEH Data Center: 

  1. First email (from the Data Center) will outline how to complete the LMS online trainings
  2. Second email (from the LMS) will provide your LMS username and temporary password to log into the online trainings.
    1. Each course must be successfully completed, in sequential order, before the next is unlocked for access

Following submission of the User Agreement and completion of the NC Security & Privacy Training course, you will receive an email from the NCCEH Data Center:

  • Confirming receipt of the User Agreement
  • Login details for the HMIS training site to create your test client to accompany the next section of LMS videos
  • Confirmation that the next LMS section is now accessible for viewing

Upon completion of the final section of training:

  • You will submit your test client(s)
  • The NCCEH Data Center will review the test client for accuracy and follow up with you regarding next steps (if any) for completion

 

Which Trainings to take?

All HMIS users will be required to complete:

  1. Start Here! Course featuring two videos: Intro to HMIS (16min) and Intro to ServicePoint (9min)
  2. NC Security and Privacy Course (34min video, quiz, and User Agreement)

HMIS users with Case Management or Administrator level access will also be required to complete:

  1. Data Entry Workflow Course (multi-video series approx. 60-90min, quizzes, and test client)

 

NOTE: If request is for access to projects that use different HMIS modules or require different HMIS workflow, multiple Data Entry Workflow Course may be required before the new user has access to all requested Enter Data As rights.  We will only assign one workflow at a time in LMS.
